Gym Membership Cancellation: the call script

Gyms are famous for making cancellation hard — in-person-only rules, 'talk to the manager' loops, and autopay that never stops. Go in with the script and a paper trail.

Know your rights (plain English)

  • State cooling-off periods — Many states give you a few days after signing a new gym contract to cancel for a full refund — check your state's health-club statute. (State health-club laws)
  • Written cancellation — In many states, gyms must accept written cancellation. Send it and keep proof — a gym that 'loses' your request still has your letter. (State health-club laws)
  • Autopay is yours to stop — You authorized the recurring charge — you can revoke that authorization with your bank if the gym keeps billing after cancellation. (Banking rules)

The call script

Opening line
"Hi, I'm calling to cancel my membership, member ID [NUMBER]. Please cancel effective immediately and confirm in writing."
1. Cancel in one sentence
"Say: 'Please cancel my membership effective today. What is the confirmation number?'"
2. Refuse the save attempt
"They'll offer freezes and discounts. Say: 'No thank you — just the cancellation, please.'"
3. Confirm billing stops
"Ask: 'Will I be charged again? When is my last billing date? Please email confirmation.'"

When they push back

They say: "You have to come in person to cancel."
You say: "My state allows written cancellation — I'll also email my cancellation today. Please note the request on my account now and give me a reference number."
They say: "You're locked into a 12-month contract."
You say: "Please send me a copy of the signed contract showing that term. I'll also check my state's health-club cancellation rules."
They say: "We can freeze it for 3 months free."
You say: "No thank you. Cancel effective today, confirm no further charges, and email me confirmation."
They say: "The system can't cancel until the manager approves."
You say: "Please have the manager call me back today at [NUMBER]. In the meantime, note my cancellation request with today's date on the account."

Before you call — documentation checklist

  • Membership ID and contract copy
  • Date you joined (cooling-off math)
  • Your state's health-club cancellation rule (quick search)
  • Bank/card used for autopay
  • Certified-mail receipt if you mail cancellation

After the call — follow-up email

Copy, fill in the brackets, send. This creates the paper trail.

Subject: Membership cancellation effective immediately — member [ID] Hello, This email cancels my gym membership (member ID: [NUMBER]) effective immediately, supplementing my call on [DATE] (ref [REF]). Confirm in writing: (1) cancellation effective date, (2) that no further charges will be billed, (3) any final balance owed. If billing continues, I will revoke the autopay authorization with my bank and dispute further charges. [YOUR NAME] [ADDRESS] [PHONE]
